REGISTRATION CANCELLATION/SUBSTITUTION POLICY
If you cancel seminars/special events on or before Friday, March 6, 2025, at 11:59 pm Central time, you are eligible for a full refund; however, you will incur a cancellation fee of $50. Cancellation notifications must be emailed to RCS Customer Service at iwce2025@rcsreg.com before this time. Substitutions will be accepted in writing without penalty. Upon proper cancellation, the full registration fee will be refunded, minus the cancellation fee of $50 of your total registration fees, to the card associated with the original transaction. Badge sharing is forbidden and will be strictly enforced at IWCE 2025.
No refunds of any kind will be made for cancellations received after March 6, 2025, at 11:59 pm Central time. No refunds will be given for no-shows, late arrivals, early departures and/or anyone who fails to notify us by the cutoff date using the method listed above. If IWCE cancels this event for any reason, you are eligible to receive a full refund minus processing fees.
Substitution Policy
Registrants unable to attend may send a substitute by bringing the registrant’s confirmation letter to the IWCE Registration Desk located at the Gaylord Texan Longhorn Lobby C to receive a badge for admission.
NONEX & Suitcasing Policy
NONEX are defined as Non-Exhibiting Manufacturers/Suppliers (NES) who register to attend IWCE. This policy aims to protect paying exhibitors from nonpaying competitors and preserve the integrity of the show. To gain access to the Show Floor, these individuals must first be approved by Show Management.
Exhibitors are companies who contracted and paid for exhibit space approved by Show Management. Associated brands not exhibiting do not qualify for the privileges of the paid and contracted exhibitor. Coupon codes do not apply to any NES. Approved or unapproved NONEX will not be allowed to hold off-site events at show-appointed hotel properties or other venues associated with IWCE.
Suitcasing is the act of attending a trade show or conference without paying for a booth or sponsorship and potentially stealing leads from paying exhibitors. Any person in violation of the IWCE suitcasing policy who is observed to be soliciting business at the IWCE facility will be required to leave the facility. You must have a booth on the Show Floor to distribute information and conduct business with attendees. All materials must be distributed from a contracted booth secured by IWCE Show Management. Strolling entertainment or moving advertisements outside of an exhibitor’s assigned booth space or in the facility’s public space are not permitted at any time during the show hours move-in/move-out.
